1. Who We Are

YardSync is a field service management platform operated by JNew Technologies. We provide scheduling, invoicing, and SMS reminder tools to service providers and their clients.

2. Information We Collect

We collect information you provide directly, including:

  • Name, email address, and phone number
  • Business name and address
  • Client contact information entered by service providers
  • Scheduling and invoice data
  • Logo, business-card photo (headshot), and other image files uploaded by service providers
  • Public business-card profile content set by service providers (business name, tagline, bio, service area, brand color, and the contact details they choose to display)
  • Information submitted by prospective clients through a service provider’s public intake form, including name, phone number, email address, service address, service interest, notes, and SMS consent
  • Usage data including IP address, browser type, device type, and pages visited
  • Subscription billing information. When you set up payments, you may save a card on file for your YardSync subscription. Your card is collected and stored by Stripe, our payment processor; YardSync never receives or stores your full card number. We retain only a Stripe customer identifier and a payment-method reference token that let us bill your subscription through Stripe.
  • Communications sent through the platform
  • Payment dispute and chargeback information associated with invoices you send or receive through YardSync, including the disputed amount, the reason provided by the card network, the client name on the invoice, and the dispute status and timestamps
  • Electronic signature metadata captured when a client accepts a quote, including the typed name, timestamp, IP address, and user-agent (browser/device)
  • The property type of a client or prospect (residential, commercial, HOA, or other), when provided
  • Location data. When you type an address into an intake form, the address text is sent to our mapping provider (Geoapify) to suggest matches. If you tap "Use my current location," your browser asks your permission and, if granted, your device's precise location is sent to Geoapify to convert it into an address. This feature is optional and you can always type the address manually. YardSync stores only the resulting address text, not the precise coordinates. See Section 14.
  • Team member ("crew"/"worker") account information, including the name, phone, or email used to invite them, and which jobs they are assigned. A worker sees only the client name, service address, and service description for their assigned jobs; they never see payment data or the full client book

3. How We Use Your Information

  • To provide scheduling, invoicing, and SMS reminder services
  • To send appointment reminder text messages to clients on behalf of their service provider
  • To process payments via Stripe
  • To improve and maintain the platform
  • To power AI-assisted message drafting features using Anthropic’s Claude API
  • To store and display contractor logos, headshots, and business-card profiles on client-facing payment pages and public digital business cards
  • To host each service provider’s public digital business card and to capture service requests from prospective clients as leads for that provider
  • To bill your YardSync subscription through Stripe using your saved card on file, including initiating the subscription charge when your first client invoice is paid
  • To detect, record, and respond to payment disputes and chargebacks, and to notify the YardSync administrator and the relevant service provider so that evidence can be submitted before the card network’s deadline
  • To send push notifications (if you enable them) to your installed devices, such as payment-received or payment-dispute alerts; these notifications may include a client name and an amount
  • To record and retain electronic signature metadata from accepted quotes as proof of agreement and as evidence in the event of fraud or a dispute
  • To provide address autocomplete and, if you request it, to convert your device location into an address by sending it to our mapping provider (Geoapify), so service addresses are entered accurately
  • To let a business owner invite team members and assign them jobs, and to show each worker only the assigned jobs they need to do their work

4. Cookies and Tracking

YardSync uses cookies and similar technologies to maintain your login session and remember your preferences. We do not use cookies for advertising or tracking across third-party websites. You may disable cookies in your browser settings, but doing so may prevent some features from working correctly.

5. SMS Messaging

YardSync sends appointment reminder SMS messages to clients on behalf of service providers. Message frequency varies based on scheduled appointments. Message and data rates may apply. To opt out, reply STOP to any message. For help, reply HELP.

6. Data Sharing

We do not sell your personal information. Mobile opt-in data and phone numbers collected for SMS communications will never be shared with third parties or affiliates for marketing or promotional purposes. We share data only with trusted service providers necessary to operate the platform (Firebase, Stripe, Twilio, Anthropic, Geoapify). These service providers receive only the personal information necessary to perform their service for us, are contractually bound to use that information solely to provide services to us — not for their own purposes — and to protect it. We do not share data with third parties for marketing purposes. Card details for your subscription are stored by Stripe under Stripe’s terms; YardSync stores only a customer identifier and a payment-method token, not your card number.

We retain your data for as long as your account is active. If you cancel your account, your data is preserved in read-only format to allow reactivation. You may request permanent deletion of your data by contacting support@yardsyncapp.com.

7. Your Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information
  • Obtain a portable copy of certain personal information you have provided
  • Opt out of certain data processing activities

Service providers may also export their own client and invoice records as CSV files at any time from Settings. These files are generated on your device and downloaded directly to it.

Texas residents may exercise rights under the Texas Data Privacy and Security Act (TDPSA) by contacting us at support@yardsyncapp.com. We will respond to verified requests within 45 days.

8. Children’s Privacy

YardSync is not intended for users under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us immediately.

9. Image and File Storage

Service providers may upload business logo images and a personal business-card photo (headshot) to YardSync. These files are stored in Google Firebase Storage and served over secure HTTPS connections. Because they are shown on client-facing payment pages and on the provider’s public digital business card, these images are publicly accessible to anyone who has the link or scans the card’s QR code. Service providers control which images they upload and may remove them at any time through Settings.

10. Public Business Card and Lead Intake

Each service provider may publish a public digital business card at a YardSync link (for example, yardsyncapp.com/join/their-name). This card displays the profile content the provider chooses to make public and may include a contact form. Information a prospective client submits through that form is collected on behalf of the service provider and made available to them as a lead within their YardSync account. Service providers are responsible for the content of their public card and for handling the prospect information they collect in accordance with applicable law. If a prospect consents, YardSync may send them a one-time confirmation text on the provider’s behalf; standard message and data rates may apply and the prospect may reply STOP to opt out.

11. Data Security

We use industry-standard security measures to protect your data. All data is stored securely in Google Firebase and transmitted over encrypted connections.

When you export or download your data, the resulting file leaves YardSync’s secured systems and is stored on your own device. You are responsible for safeguarding any exported files — which may contain client contact details and other personal information — and for handling that information in accordance with applicable law.

13. Electronic Signatures and Quote Payment Data

When a client accepts a quote by typing their name and checking "I agree," we record and retain signature metadata — the typed name, timestamp, IP address, and user-agent (browser/device) — as an electronic signature under the ESIGN and UETA laws. We keep this data as proof that the client accepted the quote and as evidence in the event of fraud or a dispute. This metadata is associated with the quote and made available to the relevant service provider.

When a client pays a deposit or prepayment to accept a quote, their card data is collected and processed by Stripe, our payment processor, under Stripe’s terms. YardSync never receives or stores the full card number; we retain only Stripe-provided payment tokens and references (such as the card’s last four digits and brand) that let us display and reconcile the payment.

14. Address Autocomplete and Location (Geoapify)

To help enter service addresses accurately, YardSync uses Geoapify, a third-party mapping and geocoding provider. When you type an address into a prospect-intake form, the text you type is sent to Geoapify to suggest matches. The form also offers an optional "Use my current location" button; if you tap it, your browser asks for your permission and, only if you grant it, your device's precise location (coordinates) is sent to Geoapify to convert into a readable address (reverse geocoding).

Use of location is entirely optional and requires your affirmative opt-in: your device's precise location is never captured unless you tap the button and grant the browser permission, and you can always type the address manually. At the point where you tap "Use my current location," a brief in-form notice tells you that your location will be shared with our mapping provider, Geoapify. We treat precise device location as sensitive data collected only through this affirmative act by you. YardSync stores only the resulting address text; we do not store your device's precise coordinates. Geoapify acts as our service provider (processor) under contract and makes a Data Processing Agreement available; the address text and coordinates shared with Geoapify are processed under Geoapify's own Privacy Policy and Terms, available at geoapify.com/privacy-policy.
